Position Summary

To effectively manage the activities of Research Services’ managers and staff in a manner that ensures all timeframes and targets are met and that costs are kept under control. To serve as a senior level liaison with clients, as appropriate. To represent Research Services in Business Development activities. To provide leadership and assist as appropriate in managing Research Services Department in an effective manner

  • Provides senior oversight to the management of projects in a timely manner in adherence with SOPs and appropriate regulations and liaises with other department managers as necessary to achieve this.
  • Provides senior oversight/assistance to the development and maintenance of project management documents, including but not limited to, project timelines, project management plans, communication plans, and risk analysis plans.
  • Provides senior oversight/assistance to the review/ approval of project related materials, including but not limited to, protocol/guidelines, informed consent forms, case report forms, site training materials, reports, newsletters.
  • Provides senior oversight to the monitoring of the quality specification within the project.
  • Liaises with clients on project related matters.
  • Provides senior oversight to the assessment of site training and management processes with Manager, Site Management Department, in an effort to ensure project efficiency and consistency.
  • Provides senior oversight to the management of project financials, including but not limited to, change in scope, client and vendor invoicing/reimbursement, grant payments.
  • Keeps individual project costs under control.
  • Leads liaising with other managers to improve the effectiveness of the organization.
  • Keeps senior management informed of project status in relation to quality, finances, timelines and staff issues.
  • Maintains confidentiality of management information as appropriate.
  • Leads participation in interviewing process and hiring efforts.
BUSINESS DEVELOPMENT
  • Leads the formation of strategic alliances with internal and external customers.
  • Leads the development of proposals for new business.
  • Leads the development of proposal defense presentations
  • Leads client capabilities presentations.
  • Supports, preferably leads, origination and participation in various external communication opportunities - speaking at conferences, writing journal articles, etc.

  • Independently able to produce clear, substantive and effective written communications.
  • Orally communicates ideas, instructions and information well.
  • Demonstrates strong grammar and proofreading skills.
  • Leads in fostering an open and honest environment for the exchange of ideas.
  • Leads in communicating effectively with others at all levels within the organization and with clients/vendors.

  • Completes special projects and miscellaneous assignments as needed to meet project and/or departmental objectives.
PERSONAL/ PROFESSIONAL DEVELOPMENT
  • Continues education via professional development activities to enhance own professional growth.
  • Leads active participation in Lunch and Learns, Journal Clubs or other internal company training sessions.
LEADERSHIP
  • Leads ensuring team compliance with all relevant SOPs and Best Practice Guidelines.
  • Supports, preferably leads, in the development and tracking of goals, budgets and other financial metrics at Project and Departmental levels.
  • Leads identification and implementation of process improvement initiatives as appropriate.
 
MANAGERIAL/ ADMINISTRATIVE
  • Manages technical and administrative functions for multiple, simultaneous, complex projects.
  • Ensures project activities are consistent with project requirements and contractual scope of work.
  • Able to determine the multiple tasks involved in a project or assignment and prioritize their completion.
  • Leads provision of financial oversight to projects to ensure appropriate profitability.
  • Ability and willingness to travel (International and Domestic) up to 35%.

SUPERVISION
  • Ensure RS Managers and staff perform responsibilities to an appropriate working standard
  • Monitor and evaluate RS staff workload and liaise with Resource Management, the relevant Project Manager and others (as needed), to ensure appropriate allocation of resources, optimal utilization and manageable workload
  • Ensure all necessary training is provided to staff on an ongoing basis to optimise job performance and knowledge with particular emphasis on all relevant ICON procedures, ICH-GCP and other local regulations
  • Conduct and/or oversee training of RS Managers
  • Implement individual development plans and provide coaching and mentoring to assigned RS staff
  • Maintain regular 1:1 communication with RS Managers
  • Approve vacation time and leave requests (consulting Sr. Management as appropriate)
 
REQUIREMENTS
 
  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • US/LATAM/CAN:  Minimum of six years of relevant experience is required with at least four (5) years of relevant line management experience as a Sr. Manager in RS, Sr. CRA Manager, Project Manager or equivalent job role
  • EU/APAC: significant proven clinical research experience, with prior relevant line management experience as a Sr. Manager in RS, Sr. CRA Manager, Project Manager or equivalent job role.
  • Foreign language skills desirable.
  • Good oral and written communication skills.
  • Due to the nature of this position it may be required for the employee to travel.  Therefore, dependent on the employee’s location, the employee may be required to possess a valid Drivers license.  
  • Minimum required education (with a background in medicine, science or relevant discipline preferred) is a Bachelor’s degree or equivalent.  Masters degree preferred
  • Proficient in computer applications such as MS Word, Excel, Publisher, PowerPoint
