Responsible for overseeing the end-to-end contract documentation process, ensuring quality control throughout. This includes managing the execution of contracts and amendments, and distributing them to relevant third parties as needed. Duties also involve data entry, generating reports from tracking databases, following up with third parties regarding contract and amendment execution, and maintaining up-to-date on-site paper files.
This is a hybrid role, requiring two days per week on-site at the client’s office in Paris.
- Services will be provided in accordance with applicable sponsor SOPs, work instructions, policies, and local regulatory requirements.
- Responsibilities include reviewing and administratively finalizing contracts and amendments by ensuring consistency in headers, footers, and file naming, as well as applying watermarks and document protection as needed.
- Print, assemble, and track contracts, amendments, mass mailings, and other relevant documents. Manage site mailings and other correspondence as assigned.
- Obtain appropriate signatures on contract documents following departmental procedures.
- Maintain and update tracking databases with relevant contract information, monitor data integrity and quality, and run reports to identify outstanding contracts and amendments for follow-up.
- Organize, store, and retrieve files related to contracts, payment documentation, and other key records. Maintain an electronic repository of contracts and archive documents in the sponsor’s third-party system.
- Support data gathering and analysis activities. Identify opportunities for process improvement and communicate them appropriately.
- Respond to QA and audit requests under the guidance of an analyst or manager.
We are looking for a Clinical Trial Assistant (CTA) or Clinical Trial Coordinator (CTC) with prior experience in the pharmaceutical or CRO industry. The ideal candidate will have a background in Finance or Legal, preferably with previous exposure to Payments or Pricing. This role will support contract management and the preparation of economic reports, so a strong eye for detail and experience working with financial or contractual documentation is essential.
