We are currently seeking a Pharmacovigilance Administrator to join our diverse and dynamic team. This role is ideal for experienced administrators who are motivated by purpose-driven work and thrive in structured, detail-oriented environments.
At ICON, you will play a key role behind the scenes of clinical research—ensuring that critical safety information is accurately captured, documented, and reported. Your work will directly support patient safety and the safe development of new and existing medicines used worldwide.
This is a hybrid position, requiring attendance at our Warsaw (Poland) or Sofia (Bulgaria) office three days per week.
What You Will Be Doing:
- Managing and coordinating the flow of safety information across internal systems and stakeholders
- Reviewing, organizing, and maintaining accurate documentation in line with regulatory requirements
- Ensuring timely and precise data entry into safety databases
- Supporting the preparation and submission of safety reports to regulatory authorities and clients
- Collaborating with cross-functional teams to ensure processes are followed and deadlines are met
- Acting as a key point of coordination to maintain high-quality, audit-ready documentation
What We’re Looking For:
- Previous experience in an administrative, coordination, or documentation-focused role (ideally in a regulated environment)
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- High attention to detail and commitment to accuracy
- Confident communication skills and ability to work across teams
- Experience working with data, documentation, or reporting tools (e.g., Excel, internal systems)
- A structured, process-driven mindset with a focus on quality and compliance
A background in life sciences or pharmacovigilance is an advantage, but not essential—we value transferable administrative experience and a willingness to learn.
