- Answer all incoming calls in a pleasant manner and transfer or redirect as appropriate.
- Distribute and handle all incoming and outgoing post.
- Record fully, details of any messages to be retained for personnel and pass on when appropriate.
- Distribute and handle all incoming and outgoing post.
- Handle inbound/outbound courier packages by tracking, logging, dispatching as required.
- Assist with the management of the absence hotline mailbox and forward messages to managers as required.
- Assist with programming of security cards.
- Maintain and update on a weekly basis the MyICON Phone List, using as a reference the Starters/Leavers/Transfers/Promotions Spreadsheet issued by HR.
- Maintain records of courier/taxi/chauffeur bookings and florist orders.
- Code and prepare for approval invoices relating to courier/taxi/chauffeur/florist bookings and orders.
- Monitor and forward to staff received faxes of Main and Administration Faxpress Inboxes.
- Assist, if required, with the coordination of the clinical weekly travel plan.
- Assist with the administration of services of the external archive provider.
- Assist with general administrative duties and responsibilities of the Administration Team, if required.
- Keep the person to whom the Receptionist reports to informed of any administration issues within the department which require attention.
- Appropriate academic qualifications and/or relevant experience. Computer experience/general software/keyboard skills.
- Good oral and written communication skills.
