POSITION SUMMARY:
The Outsourcing Administrative Assistant will be responsible for supporting the Outsourcing Managers with various aspects relating to the development of HCP agreements including, but not limited to, all aspects of Fair Market Value (FMV), agreement execution and associated Purchase Order requests. This person will also act as a back-up to the Contracts Coordinator as required.
In addition, the Outsourcing Administrative Assistant will support Outsourcing with administrative responsibilities.
KEY RESPONSIBILTIES:
- Review of HCP CVs to determine accurate FMVs
- Review of Needs Assessment Forms and seeking clarity where required
- Initial entry of opportunities into the Sponsor Contracting Tool (VCT)
- Works closely with the Outsourcing Manager responsible for HCP contracts
- Uploads FMVs and needs assessments into the VCT
- Distributes, tracks and monitors all HCP-related agreements through signature process, following up with internal and external signatories as necessary through local databases, tracking systems, and other tools
- Inputs and monitors requisitions/purchase orders through the iProcurement system, following up with internal approvers as needed
- Assists in processing DocuSign tickets through Service Now for four sponsor groups. Directs requestors to appropriate contacts within other groups for processing if needed.
- Provides ad hoc administrative support to the Outsourcing team
- Provides input, assistance with development of solutions to improve new and existing processes utilized by both groups
MINIMUM QUALIFICATIONS:
- Bachelor’s degree preferred
- Word, Excel, and PowerPoint skills required
- Flexible, adaptable and able to work in dynamic, fast-paced environment managing multiple tasks
- Exceptional organizational and communication skills
- Ability to handle confidential information both internal and external
