Facilities and Administration - Regional Manager (EMEA & APAC)
 
Location: London
 
ICON plc, a leading Clinical Research Organisation employing 14,000 people across 80 offices in 38 countries, seeks a highly motivated Manager to join our global Facilities and Administration team.
 
Based in our London office, you will be responsible for remotely managing 8 of ICON’s offices across EMEA and 4 in APAC.
 
As Regional Manager, Facilities and Administration, you will lead and guide a regional team of 19 with 8 direct reports.
 
In this role, you will help make an impact globally and support ICON’s mission – to help its clients accelerate the development of drugs and medical devices that save patient lives and improve their quality of life.
 
The Role
 
You will be responsible for the management of real estate portfolio within your region this will involve procurement of goods and services within budget and supporting the business as it grows. You will be responsible for maintaining best in class health and safety standards and ensuring the smooth operation of the work environment.
Due to the nature of this position you will be required to travel from time to time as per business needs. A driving license will be required.
 
Role responsibilities include:
  • Hold regular interlock meetings with relevant Regional VP/Directors to ensure high level of internal customer happiness.
  • Meet with regional direct reports to ensure great communication, management support and staff mentoring.
  • Ensure the purchasing procedure is followed throughout the company.
  • Develop the strategy for procuring goods and services for the regional businesses and negotiate the best value deals in co-operation with the Procurement team.
  • Ensure the Administration Department aligns with ICON systems/ SOP's.
  • Monitor use of ICON’s help-desk system, Facilities Online, in the regional businesses. Ensure compliance with department metrics.
  • Train and assist where necessary other Office Managers within regional businesses ensuring compliance with company SOP's.
  • Maintain positive strong working relationships with the wider business.
  • Actively identify and implement process improvements initiatives as appropriate.
  • Ensure all necessary training is provided to your team to improve their job performances.
  • Keep senior management informed of regional business issues/project status.
  • Maintain confidentiality of management information as appropriate.
  • Manage the annual facilities department operational and Capex budgets.
  • Manage the company car fleets as required.
  • Maintenance of company insurances for the regional businesses.
Experience & Knowledge Requirements:
  • Previous experience in a relevant regional Facilities Management role. With experience across the wider EMEA region necessary and experience within APAC desirable.
  • Strong people leader with experience with remote people management.
  • Working knowledge of Health & safety workplace guidelines.
  • Strong vendor management experience.
  • Ability to influence and communicate ICON’s requirements and secure the best deals for ICON.
  • Excellent organization/communication skills, both written & oral.
  • A strong background in all aspects of facilities and administration.
  • Experience within budget preparation and management.
  • Experience and knowledge in real estate office fit outs and office relocations.
Education Requirements:
  • Bachelor’s Degree or local equivalent preferred but not essential
