Talent Acquisition Coordinator
Location: Dublin (Ireland) or Reading (UK) Office based with some flexibility
Working within our global TA Team, this role will work closely with the Talent Acquisition Specialists in EMEA to provide a consistent and efficient recruitment service to the business.
Primary focus of the role is schedule interviews with hiring managers and relevant stakeholders and ensure effective communication with candidates and stakeholders at all times including liaising with manager and candidates, booking rooms/virtual links, preparing interview schedules and issuing supporting documents and ensure calendar activities are coordinated and communicated while ensuring positive candidate and hiring manager experience throughout the recruitment process.
Detailed responsibilities:
- Arrange and co-ordinate interviews with candidates and other multiple interviewers in a time efficient and cost effective way in line with recruitment metrics, ensuring any relevant travel is organised in line with ICON's travel policy
- Carry out regular audits to ensure process compliance with in global team
- Ensure the ATS (Workday) system is updated to record interview details and relevant comments
- Update and maintain the ATS with candidate, third party details, merging duplicate agency information and inputting re-submissions where required ensuring a high level of accuracy is maintained
- Ensure full communication is provided to relevant team members and other stakeholders on changes or updates on candidates status/interviews
- Follow up with Hiring Managers to ensure that all interview/assessment notes are collated, explaining the importance of the collection of this documentation
- Management of recruitment technology including uploading jobs, candidates agencies/sources, Interview notes
- Be involved in and action ATS changes as requested and run recruitment reports as required
- Assist with other related recruitment duties and input Into projects as required
- Dependent on region - Coordinators may need to assist with scheduling background checks, following the relevant process and other related hiring activities
- Office administration required to support the efficient running of the recruitment process
- Build and maintain strong working relationships with the business, ensuring that they are continually appraised and updated on the relevant recruitment processes
- Management of day to day queries ensuring all are dealt with in an effective and timely manner and escalated where necessary
- Work to the service levels agreed with the business
- Other duties as assigned
To be successful you will have:
- Proven high volume recruitment/coordination/admin experience in a busy, fast-paced environment
- Excellent knowledge of applicant tracking systems (Workday would be advantageous)
- Ability to multi-task and handle competing priorities
- Experience working in an administrative role, in a busy customer focused environment
- Customer centric approach with candidate/Hiring manager experience front and centre
- Flexible, proactive, and highly organised with excellent attention to detail
- Strong communication skills with the ability to communicate with numerous individuals with a customer focused approach
- Excellent IT skills and particularly with Outlook, Excel, Word and PowerPoint
- Excellent team player with ability to work autonomously and demonstrate initiative
This is a full time 6-12 month contractual opportunity based in our Ireland or UK offices with the possibility to extend or convert to permanent.
