1. PURPOSE OF THE JOB:
• . To provide support to the Corporate Training and Development Department including CTD management and corporate activities undertaken by the department in accordance with ICON SOPs/WPs/policies and applicable laws and regulations.
2. JOB FUNCTIONS/RESPONSIBILITIES:
* Coordinate instructor-led (ILT) training courses including but not limited to:
o Prepare course materials in appropriate manner
o Prepare name tags/cards, when necessary
o Schedule courses
o Enter training event information into iLearn
o Issuing alerts to affected departments regarding impending training events
o Schedule and preparing training/meeting rooms including ordering equipment, stationery supplies, food supplies and setting up the rooms, etc.; liaising with IT and Administration departments as necessary
o Communicate event details to training facilitator(s), instructor(s), department management, other departments such as IT and Administration as necessary
o Provide support during training events as needed including ordering additional supplies, handling issues during events, etc.
o Ensure training/meeting room cleanup and gathering surplus materials upon end of training event as needed
o Issue and compile results from course evaluation forms, when requested
o Maintain training room calendars, where appropriate
This includes support for ILT events conducted by external vendors to the extent necessary for the event.
* Provide administrative support for iLearn electronic documentation of training including but not limited to:
o Scheduling ILT events in iLearn
o Assisting facilitator(s) with managing registrants to ILT events
o Producing roster reports for facilitator(s) and non-CTD instructors as necessary
Entering completion status into iLearn for ILT events
* Maintain ILT training event schedule/calendar
* Provide available course materials for self-paced learning events to ICON staff as necessary (e.g., books, videos).
* Provide support for external and internal audits and/or client requests for training documentation on study staff including preparation of employee reports (training history; registrations, learning plan when requested) and provision of scanned or actual paper files, when necessary. This may include assisting in procuring updated CVs from departments responsible for maintaining CVs, when necessary.
* Coordinate CTD new hire departmental induction activities for new CTD employees.
* Maintain regular contact with CTD team, customers and suppliers to ensure information is effectively communicated.
* Inform Manager/senior CTD management of department and training issues, project status including activities and timelines, etc.
Maintain CTD eRooms and MyICON page, where assigned.
Complete departmental projects as assigned in accordance with instructions and specified timelines.
Maintain departmental files
Coordinate the procurement, distribution, return and tracking of reference materials including library materials. This includes maintaining published library lending list.
Assist with new hire orientation activities for new ICON employees.
Maintain paper training record files, as necessary.
Generate and distribute monthly department status reports, including metrics reports.
Perform additional activities and responsibilities related to the job role and support of CTD activities as assigned.
3. QUALIFICATIONS/EXPERIENCE REQUIRED:

* Appropriate academic qualifications and/or relevant experience.
* Well-developed interpersonal and communication skills (oral and written).
* High level of proficiency in keyboard and general software use including the following MS Office applications: Excel, Powerpoint and Word.
Familiarity with standard office equipment (copiers/scanners, telefaxes, courier shipping systems).
High level of organisational skills, attention to detail and accuracy in work completion.
* Ability to travel domestically and internationally as necessary and not expected to exceed 10%.
