Our Recruitment Philosophy @ ICON

ICON is looking to grow to 15,000 employees over the next 3 to 5 years. A big focus of ours is around promoting internal talent but there will always be roles that need expertise from the external candidate market.

When you spot an opportunity you’re interested in and submit an application, one of our Talent Acquisition Specialists will be in touch to evaluate your suitability for this position, as well as for other openings within the business.

A company's recruitment process gives a powerful first impression of how a company works and who they are as an employer. ICON is continuously looking for ways to streamline the recruitment process. With the introduction of a dedicated candidate dashboard and digital interviewing software, we are making positive strides towards driving better, more consistent decision-making, increasing transparency and reducing the time it takes for a candidate to progress through to hire stage.

What’s involved

Your Application will be reviewed by our Talent Acquisition team to assess how you fit the role.

When assessing your application we’ll consider if your skills are suitable for other parts of our business, and where appropriate, discuss other opportunities.

Set yourself up for success

  • Familiarise yourself with the role requirements (link to ICON's blog posts below)
  • Highlight on your CV the most relevant experience for the role
  • Make sure you list any educational details, including modules, projects, dissertations and qualifications of relevance.
  • Whether they are paid, voluntary or shadowing, all experiences count. Mention the scope of your work, what you achieved, what skills you developed
  • Achievements and interests: If you have been involved in extra-curricular activities, co-curricular activities or involved in community service, it would be a good idea to include this information to showcase that you have a well-rounded profile, with a balanced approach to life. Focus on recent examples, describing your involvement, timelines, achievements, impact/ contributions and biggest learning.

If your application is selected, a member of our team will be in touch with you to arrange a telephone or online interview.

How: Either Phone Interview or a Self-recorded Interview (using our digital software)

Duration: 20-30 minutes

The evaluation will look at your technical skills and your competencies – for example with delivering excellence, we might ask ‘give us an example when you’ve delivered excellence – what impact you had on your immediate team, the wider service line or group, your organisation overall.

Phone interview

Making a good impression, especially when you can’t see the person you’re trying to impress, can be a real challenge.

Here are some top tips to help you handle your telephone interview with confidence.

  • Practice a dry run before the call
  • Smile as you dial (really, this works!)
  • Be in a quiet place
  • Make sure you have good signal and your phone is fully charged
  • Remember to breathe and try to keep your speaking pace steady
  • Give the interviewer a chance too!

Self-recorded interview

This short, self-recorded video interview is an opportunity for you to tell us about yourself.

You will be asked several questions, and after each question, you will be given time to think and respond. In general, we recommend that you complete this within 2 days.

Here are some tips for the self-recorded interview:

  • Choose somewhere quiet and make sure you have a good internet connection
  • Test your webcam and microphone
  • Make sure the area is well-lit and you can clearly be seen
  • Preferred browsers are Chrome, Firefox or Safari (latest version).

What’s involved?

For some roles, we conduct pre-interview assessments to identify job-specific qualities.

These will be a mix of psychometric tests to assess ability and/or personality. There are no right or wrong answers in personality tests.

Candidates who are selected for these assessments will be notified via e-mail and sent an online assessment link.

There is no specific preparation needed. Just allocate enough time according to the instructions received via email, so you don’t put unnecessary pressure on yourself.

If you're selected for interview, you will meet with the hiring manager and members of his or her team – either face-to-face or virtually.

Interview Self-Scheduling

We value your time and we made sure scheduling your interview with us is not a hassle. We tried to minimise phone tag as well as scheduling mishaps by automating the process. You have on-the-go access to the real-time calendar availability of interviewers to allow you to plan ahead of time. With access from mobile and instant notifications you will be the first to know when the interview is confirmed. If you need to reschedule, please let us know as soon as possible.

How it works

  • You will receive an invite to Self-Schedule in your email inbox
  • Follow the link provided in your email to access HireVue site
  • This will give you access to a free/busy view of your Interviewer’s calendar – pick a day/time that works for you
  • Once you are happy with your choice, schedule the interview
  • This goes directly to an Interviewer's calendar and you will receive a confirmation message to your email

What’s expected of me?

  • Read the communication emails and take action
  • Open and read candidate instructions when receiving notifications
  • Show up prepared and on time


Q  What if I need to reschedule? Access your HireVue profile and select the Reschedule option available to you from the calendar.

QIs there an app I can use? Yes, a HireVue app is available for iOS (Apple) and android mobile devices

Face-to-face interview

The number of interviewers who you'll meet depends on the role, location and hiring manager.

Just be you The interview process is a time for us to get to know each other. It works both ways. The best way to tell if there is a strong match and fit is to be yourself. So speak honestly, sincerely, and show your personality.

Ask Away You’re making a decision about us too, potentially one that will significantly impact your and even your family’s life. Don’t be afraid to ask the questions that are important for your own evaluation. You might like to know about the ways we’ll develop and invest in you or what types of career experiences you can expect. Ask away.

Live interview

  • Face-to-Face via webcam or mobile device
  • Up to three interviewers at one time together with candidate
  • Scheduled, “real time” interviews
  • Interviews can be taken from anywhere
  • No need to travel (available on mobile)

Congratulations! You got the job!

Your recruiter will contact you to discuss the terms of your job offer and a potential start date.

After this verbal discussion, you will then receive your offer through your candidate portal that includes details of your job offer and instructions on how to confirm your acceptance.

Once you accept the offer, we will also ask for additional information from you, such as:

  • Confirmation of personal details
  • Passport and Visa information

Your recruiter will be available to answer any questions or further requests you may have to finalise the recruitment process and help you plan for your fresh start!

In the unfortunate event that you're not selected for the role: Your recruiter will share this information with you as a professional courtesy and in acknowledgement of your time and interest in ICON. We will keep your resume in our database in case it matches other opportunities in the future. You can always request that your personal information be removed from our database by sending an email request to

Background Check

ICON has partnered with an authorized party to conduct pre -employment checks.

Don’t worry, all this will be made clear in advance and you’ll have plenty of time to get the necessary information together.

You will receive an invitation to access a secure, online portal with exclusive mobile communication features to keep you in the loop and provide needed documentation to speed up verification.

Once you have passed our pre-employment screening the welcoming process begins and we’ll do all we can to help you prepare for your new role with us.

First Day

Congratulations! You have arrived at your first day at ICON. We are delighted to welcome you.

On your first day you will meet your line manager and be introduced to your buddy. Your buddy will be someone who knows the ropes and will support you as you settle into your new role at ICON.

What to expect:

  • If you are located in an office, when you arrive you will have your photograph taken and you will be provided with a security pass.
  • For office and homebased staff we will ensure you have the right equipment to support you in your new role and help you to get started as quickly as possible.
  • If you are office based you will attend a Local Office Induction session (note in some locations this is held on a day other than your first day you will be informed when this will be).
  • You will attend an orientation session to find out everything you need to know about ICON, our systems and applications, HR and training and development support available to you. Depending on location, this might take place in person or remotely.
  • You now have an opportunity to complete all onboarding tasks assigned to you.
