Job Title: Marketing Event Coordinator
Location: Bulgaria, Sofia

The role:
In this position, as a part of the Marketing and Communications team, you will provide support for company sponsored industry tradeshows and events to ensure successful execution. This includes assisting with logistical planning of large tradeshows as well as supporting smaller sponsored conferences and/or company hosted seminars, workshops or events.
Responsibilities:
Work with Marketing team and cross-functional stakeholders to coordinate logistics and deliverables for trade shows. Logistics can include: booking booth and meeting space, coordinating registration badges, managing housing, ordering exhibit show services, AV, catering and/or shipping event materials as required.
Work with conference organizers and/or vendors, e.g. exhibit house, creative agency, printers, lead retrieval company to ensure timely, cost-effective execution
Manage corporate conference calendar including coordinating with internal partners on upcoming sponsorship activity, fulfilling logistical requests, maintaining EventExpress, CRM, project management systems
Assist in creation and distribution of pre-show and post-show communications
Occasional on-site support, execution, and management of events, including show set-up and take-down
Process expenses, update and manage budget tracker, and assist in complete financial reconciliation
Utilize Customer Relationship Management process and technologies (Salesforce.com, Pardot) to ensure timely processing of show leads and accurately report on results
Experience:
Bachelor's Degree, preferably in Communications, Marketing, or a closely related field, or equivalent work experience
Minimum 1-2 years of trade show/events experience in a professional services or B2B environment. Experience in the life science industry preferred.
Ability to work in a fast paced, multi-cultural matrix structure environment, with multiple and changing priorities while maintaining strong focus on execution and results
Strong interpersonal and collaboration skills with an ability to communicate at all levels of an organization both internally and externally
Detail-oriented with excellent follow-up, budgeting, and time management skills
Adept at handling multiple complex projects simultaneously under pressure to meet tight deadlines
Knowledge of marketing communications and graphics helpful
