Proposal Associate
 
This is an exciting opportunity to work within a fast paced, busy environment for a leading global provider of outsourced development services to the pharmaceutical, biotechnology and medical device industries. The Proposal Associate supports the business development process in IDS and other divisions of ICON by preparing accurate, timely and relevant proposals in response to requests for proposals (RFPs) from sponsors in relation to new opportunities and revisions to previously submitted proposals.
 
Overview of the Role
  • Prepare proposals and proposal revisions based on information provided by Business Development.
  • Evaluate incoming RFPIFs to determine what is required and identify what, if any, issues require clarification to better define the scope of activities required for a project opportunity.
  • Manage and lead meetings with internal staff, including, as required, staff from IDS US/UK and other parts of ICON, to define the key sponsor drivers for any opportunity, the scope of effort and associated costs for proposals, and revisions to proposals in development.
  • Create project budgets that accurately reflect the scope of work described within a proposal and which assure appropriate levels of profitability.
  • Prepare quality proposals in a timely manner, considering the customer’s needs and the best recruitment strategies proposed by IDS, appropriately representing IDS’ experience and advantages / benefits and clearly delineating division of responsibilities for tasks.
  • Manage the proposal process, including the acquisition of all relevant information relating to the content of the proposal and budget, as well as the internal review of proposals.
  • Assure ongoing familiarity with all templates and processes required for the effective completion of proposal related tasks.
  • Create, maintain, and update accurate and organized filing systems (paper and electronic) for proposal opportunities.
  • Maintain appropriate data in the database (eroom) for all proposals and revisions submitted.
  • Proactively manage a workload that includes responsibility for multiple proposal assignments and other departmental tasks.
  • Create new proposal and budget templates and update existing templates as the need arises.
  • Participate in client teleconferences and meetings to clarify Scopes of Work and Budgets.
  • Represent the Proposals Group at handover meetings, when introducing newly awarded projects to other functional groups within the company.
  • Participate in Business Development or triage meetings as requested by the Associate Director of Proposal Services.
  • Any other duties as assigned commensurate with skills and qualifications and appropriate to the role.
Role Requirements / Skills / Experience Required
  • Bachelor’s degree or local equivalent preferred.
  • The Proposal Associate position requires proficiency in several software packages:
    • Outlook
    • Word
    • Excel
    • Adobe Acrobat
  • Excellent analytical, communication, organization, and writing skills.
  • Attention to detail.
  • Ability to manage multiple tasks under strict deadlines.
  • Ability to react well to change.
  • Ability to work well with internal colleagues as well as clients.
