Job Profile

We are looking to find an enthusiastic and detail orientated individual to join our proposals development group dedicated to the early phase department. We are fortunate to be able to consider someone at either a level I or II, level I we can consider graduates or individuals with an administrative background. For level II we require someone with prior experience in proposals development preferable within life sciences. The role can be located either home or office-based in Ireland, UK, Spain, Bulgaria, Poland, Serbia and a few other locations across EMEA.

As a Proposals Development Associate I or II you will:

• Lead and prepare complex client focused proposals, budgets and client grids for new business opportunities and ensure that the all required information is provided in the final proposal within given timeframe

• Adhere to the proposal process

• Chair kick-off and resource meetings and coordinate the participation of appropriate personnel in the proposal development process

• Set-up and participate in clinical strategy meetings for key/ non-key opportunities

• Liaise with the appropriate personnel including sales, strategic proposal development and operations throughout the proposal generation to ensure that the proposal and strategy meets the business needs in line with triage priority

• Prepare costs for proposals by interacting with operational departments to coordinate costs and assumptions

• Submit final proposal, on time, to Account Manager or designee

• Coordinate and participate in negotiations and discussions with clients as required

• Attend bid defense and other client meetings in a support role when required

• Coordinate and prepare budgets and specifications for contracts for new business awards (where appropriate)

• Clarify contract specifications with the Manager, Proposals; Project Manager; and/or Account Manager (where applicable)

• Solicit input and review of proposals, budgets and contracts (where applicable) from the relevant operational departments including Manager, Proposals and Account Manager

• Train and mentor junior staff as appropriate and as designated by Manager, Proposals

• Develop and maintain filing and tracking tools in accordance with accepted practices

• Comply with ICON administrative, training and human resources policies

• Assist with continuous departmental process improvements and participate in special projects periodically assigned, in addition to day-to-day duties

• Ability and willingness to travel at least 5% of the time (international and domestic: fly and drive)

What do you need to have?  

• Bachelor’s degree or its international equivalent (preferable within life sciences or finance)

• Experience in purchasing, procurement, proposal development, finance, auditing or contract administration preferred, but open to consider graduates at an entry level as well.

• Prior experience in Pharmaceutical, Medical or CRO industries, strongly preferred 

• Previous experience using computerized information systems and standard application software (Windows, MS Office) 

• High level of comfort with Word and Excel required 

• Good written and oral communication skills 

• Must read, write and speak fluent English.
