Role: Investigator Meeting Project Specialist
Location: This role can be based from any EMEA or US ICON Location
We are looking for an Investigator Meeting Project Specialist to join our Investigator Meetings & corporate events global team. You will be responsible for maintaining relationships with suppliers providing event management services relating to sponsor/client and company events globally.
As part of this unique function you will be responsible for contracting all study critical Investigator Meetings which are an integral part of the study journey (100 - 200 events annually).
The Investigator Meeting site experience either virtually, face to face or a hybrid is a priority for the Investigator Meeting function within ICON. Our clients customers - Investigators are our priority when planning & executing a flawless event.
The image presented to Clients and investigators and the quality of service given by staff members is of great importance to ICON and accordingly all employees should ensure that good impressions are created at all times. This is applicable when supporting the IM Manager on sponsor calls & meetings which requires flexibility in dealing with events in different timezones.
As an Investigator Meeting Project Specialist your role will involve:
Meetings & Events
Maintaining relationships with the global supplier panel relating to sponsor and ICON event management. Working with the preferred suppliers to maintain high service levels for our internal & external customers.
Tracking & completing the Service Agreement/Task Order (supplier contracts) internal process for each event
Supporting the project management with the end to end internal Investigator Meeting process
Developing an event tracker to identify possible efficiencies across all programs
Maintaining accurate and complete documentation of all event programs, supporting the internal review & approval process & ensure review is timely
Working with the Investigator Meetings Manager to develop an Investigator Management Scorecard based on the following: Supplier Contracts turn around time, Requisition to Purchase Order turn around time, Event Savings Report & Functional Support Survey Metrics. In addition developing a post event survey that measures the success of our preferred event planner suppliers & continuously monitors their delivery of best in class service levels to ICON & our clients
A small portion of travel to key Investigator Meetings globally (10%)
Vendor Management
Identifying any supplier issues, reporting feedback & escalating as appropriate
Attending and contributing to vendor review meetings, as part of continuous improvement program
Working with the Investigator Meetings Manager and vendors on key metric measurement for performance management
Financial
Reviewing financial information for accuracy, such as invoices for services and materials; hotel invoices, subcontractor invoices, etc. and oversee the preparation of the final financial report for the sponsors or internal stakeholders.
Supporting the Investigator Meetings Manager with preferred supplier rate card negotiations
As an Investigator Meeting Project Specialist you will have:
Proficiency in Word, Excel & Power Point
Strong communication skills to communicate with various stakeholders
Problem identifier to escalate when necessary; sense of accountability and sound professional judgment.
Highly developed planning and organizational skills. Must be able to resolve conflict and meet tight deadlines, successfully manage multiple tasks & timelines.
Ability to perform assigned tasks with infrequent direct supervision
Strong attention to detail
Fluency in English is an essential
Global corporate event experience - desired
