This is an excellent opportunity for a Management Assistant possibly with exposure to the clinical trials or pharmaceutical industry to play an implemental role in driving this organisation towards success.
Responsibilities will be to support the Chief Operations Officer and the Chief Medical Officer in all aspects of their work and management of their offices, including managing the respective diary/diaries and ensuring that they are well briefed and prepared ahead of meetings. The roles will also involve dealing with correspondence, managing meetings, making travel arrangements, and attending internal and external meetings/events as required.
The successful candidate will be flexible, have strong communication skills and an excellent standard of written English, have excellent administrative and IT skills, as well as being pro-active and able to prioritise their own workload with minimal supervision, and keeping one step ahead. The ability to act with discretion and handle confidential information sensitively is essential.
Knowledge of the work of the Healthcare landscape would be an advantage, but this is not essential.
To provide effective, efficient management support to the Chief Operations Officer and the Chief Medical Officer. This will include support in all aspects of their work and the management of their offices, including diary management, meetings management, document production and ensuring all aspects of the administration, planning and co-ordination of work streams is managed effectively and efficiently.
Main Responsibilities:
- Providing high-level effective support (organisation, communications - verbal and written, follow up) in order to facilitate the smooth running of their offices.
- Being the first point of contact for organising meetings for Chief Operations Officer and the Chief Medical Officer.
- Managing and prioritising diaries to make effective use of time.
- Managing the correspondence addressed to the Chief Operations Officer and the Chief Medical Officer.
- Establishing and maintaining systems and procedures. Maintaining records and review/report on progress and performance.
- Preparing agendas, distributing papers and taking minutes at selected meetings, as required by the Chief Operations Officer and the Chief Medical Officer.
- Playing a pro-active role, establishing regular catch up meetings, properly liaising with alternates for holiday and sickness cover.
- Providing support as requested by of the Chief Operations Officer and the Chief Medical Officer.
- Liaising with Directors and other senior Oncacare staff.
- To perform any other reasonable duties as directed by line management.

- Performing any other reasonable duties as directed by line management.

To be successful you will need:
- Experience of diary management.
- Experience of operating confidently at a senior level, within a highly confidential environment, exercising tact, diplomacy and complete discretion, with strong communication skills.
- Experience of producing reports to a high standard.
Skills and Abilities
- Excellent interpersonal skills, with the ability to deal effectively with staff at all levels, from operational to Board level, in order to provide an excellent level of customer care.
- Accurate time management and prioritisation.
- Excellent communication skills, oral and written.
- Effective time management skills, including the ability to successfully prioritise workloads, and manage multiple competing priorities.
- Strong influencing, negotiating, persuasive and relationship building skills.
Knowledge including qualifications
Ability to use appropriate IT applications effectively (including Outlook, Box, Word, PowerPoint and Excel).
Ability to absorb information and produce executive reports for the Chief Operations Officer and the Chief Medical Officer, under guidance and supervision.
