The Role:

We are looking for a new Travel Operations Coordinator to join our team.

This role will have a focus on global Accommodation & Meetings.

You will be supporting the delivery of Travel function projects that improve internal customer experience and commercial metrics and targets.

Responsible for delivering the Global Stay Program (GSP) and Small Meetings Program (SMP). You will work closely with the Travel Data & Insights Analyst to track program performance and identify gaps or opportunities. You will also ensure the preferred venues are accurately listed via ICON's booking channels and monitor employee compliance to Policy and processes.

Key responsibilities will include:

  • Collaborating with the Travel Management team in conjunction with specialist consultants to deliver the Global Stay Program (GSP) and Small Meetings Program (SMP)

  • Acting as the point of contact for all group accommodation & small meeting enquiries and issues

  • Ensuring accurate content is distributed via appropriate online and offline channels

  • Working with Travel Data & Insights Analyst to track program performance and identify gaps or opportunities

  • Negotiating added value to preferred vendor agreements

  • Working with regional Travel Managers to ensure C-Suite executives receive recognition, benefits and added value

  • Communicating the program via appropriate channels

  • Contributing to annual Travel Policy reviews and work with Expenses team to align on crossover items

  • Contributing to the Travel Strategic Plan

What you will need:

  • Experience in a similar coordination role

  • Strong verbal and written communication skills

  • Strong organisational and administrative skills, with a good focus on attention to detail

  • The ability to coordinate globally, and manage multiple internal stakeholders and external suppliers
